Decertification of Non-Mailmark Franking Machines

The Royal Mail have announced the decertification of some franking machine models that are currently being used in the UK. The Royal Mail have such written a letter to all customers who use a Standard franking machine advising them that they will be removing the option to send franked mail when using their franking machine. This will affect many UK businesses and you will now need to think about changing to using a Mailmark franking machine if you wish to continue to frank your mail and benefit from the Mailmark savings.

As of 1st January 2023, the Royal Mail will only accept franked mail that comes from customers who use a Mailmark franking machine. This means that Standard franking machines will become obsolete in the future as the Royal Mail ‘de-certify’ standard franking. From 1st January 2023 the Royal Mail will only accept franked mail items from customers who use a Mailmark franking machine.

Decertification of Standard Franking Machines

In 2014 the Royal Mail introduced Mailmark Franking, a form of 2D barcode which is the most efficient and accurate way of processing mail. 7 years later, and many customers across the UK are now using and taking advantage of this great technology. The Royal Mail have decided that they will no longer accept franked mail from customers who use a obsolete standard franking machine and only accept franked mail items from customers who use a Mailmark franking machine. To find out which type of franking machine you have, please read below.

Mailmark Franking Machines

Royal Mail Decertification Mailmark Franking Machine Impression If your franking machine prints a Mailmark 2D barcode then you do not need to do anything when the Royal Mail ‘de-certify’ standard franking machines. Royal Mail will continue to accept your mail as normal whereas they will not accept mail from standard, Non-Mailmark, franking.

Why is Royal Mail decertifying Standard franking machines?

All Royal Mail franking machines are migrating to utilising barcode franking technology. Franking has moved to Mailmark, a form of 2D barcode, which is the most efficient and accurate way of processing mail.

What does decertification of Standard franking machines mean?

From 1st January 2023 Non-Mailmark franking machine customers will no longer be allowed to use their Standard franking machines to send mail. Franking machine suppliers such as Mailcoms will help customers choose the best solution and alternative for using Standard franking machines.

What will happen if I try and use my Obsolete Standard franking machine after 1st January 2023?

Up until 1st January 2023 you can continue to frank mail with your standard franking machine. However, in the period leading up to this date, you will no longer be able to add credit to your Non-Mailmark Standard franking machine. The Royal Mail have yet to release a specific date for when Standard franking machine customers will no longer be able to add credit to their franking machine. After 1st January 2023 the Royal Mail will only accept franked mail that has been franked by a Mailmark franking machine. Any franked mail items that does not contain a Mailmark 2D barcode will be returned to the sender.

I use a Mailmark machine so why has Royal Mail sent me the Decertification letter?

The Royal Mail have written to every customer in its database that has a current licence for a Non-Mailmark Standard franking machine. Some customers may hold licences for both Mailmark and Standard Franking machines and will have therefore received the decertification letter in relation to their Standard franking machine.

I no longer use my franking machine so does this affect me?

The Royal Mail have written to every customer in its database that has a current licence for a franking machine regardless of whether the franking machine is still operational and in use. If you no longer use your franking machine and have received the communication from Royal Mail about the decertification of standard franking machines, please contact your franking machine supplier for advice on what to do next in regards to your licence.
